Change Of Tenancy

If you are moving in or out - the team are here to help!

We aim to make this process as straightforward as possible.

In order for us to process your change of tenancy request, and to make this as seamless and prompt for you, we require some additional information and documentation from you.

Once we have received all the required information and documentation our team will validate everything and should have your change of tenancy processed, which we aim to complete within only 5 working days.

IMPORTANT: The lists of relevant documents is shown on the previous page. If you have not already done so, please ensure that you look through the requirement documents carefully to prevent delays, or to prevent your submission from being rejected.

Proof of ownership or occupancy

These documents confirm that you are the legal tenant or owner of the premises:

  • Lease Agreement – A signed rental or tenancy agreement between the landlord and tenant.
  • Completion Statement – For property purchases, this outlines the sale details and confirms ownership.
  • Solicitor’s Letter – For newly acquired properties, this letter confirms legal transfer of ownership.
  • Deed of Assignment – For business purchases, confirming the transfer of business ownership.

Proof of end of tenancy

For outgoing tenants or owners, these documents confirm when your tenancy ended:

  • Surrender of Lease Document – Confirmation of the lease termination.
  • Final Utility Bill – From your previous supplier, showing the final meter readings and account closure.
  • Notice to Quit – A formal notice indicating the date you vacated the premises.

Proof of your identity

To protect against fraud, we may request identity verification for the person submitting the COT request:

  • Photo ID – Such as a passport or driving license.
  • Business Identification – If applicable, proof of authority to act on behalf of a business (e.g., a letter on company letterhead).

Proof of business registration

For business premises, the following documents help validate your business operations:

  • Business Rates Letter – Showing occupancy details and your business’s registration.
  • Certificate of Incorporation – Confirmation of the legal entity operating at the premises.
  • VAT Registration Certificate – For businesses subject to VAT regulations.

Proof of meter readings

To ensure accurate billing and transition, we’ll need:

  • Opening Meter Readings – Taken on the day you move in.
  • Closing Meter Readings – If you are the outgoing tenant or owner.
  • Photos of Meter – Showing the reading, serial number, and meter location.

Evidence for vacant properties

If the property is currently unoccupied, you may need to provide:

  • Confirmation of Vacancy – A statement from the landlord or estate agent confirming the premises are vacant.
  • Utility Disconnection Certificate – Proof that the property has no active energy supply, if relevant.

How to submit your documentation

We’ve made it easy to provide your documents:

Email Submission:  Send documents to changeofoccupancydocuments@ygp.co.uk with your property address in the subject line.
 

Postal Address: If preferred, you can mail physical copies to our office: COT Team, Yorkshire Gas and Power, 4305 Park Approach, Thorpe Park, Leeds, LS15 8GB.

What happens after submission?

After we receive your documents, this is what happens.

Review Process: Our team will verify the documents to ensure everything is in order.

Follow-Up: If additional details are required, we’ll aim to contact you within 48 hours.

Confirmation: Once approved, we’ll confirm your tenancy change and set up your new account.
